Water is the drink hosts forget to count and then run short on. Plan at least one to two bottles or cups per guest for a normal indoor event, and step that up sharply for anything outdoors, active, or in the heat, where two to three or more per person is realistic. Anyone drinking alcohol also needs water alongside it, and designated drivers may drink little else all night, so build in extra rather than treating water as an afterthought. It is the cheapest item on the list, so over-buying costs almost nothing and running out is genuinely a problem.

Choose between bottled and a dispenser based on the setting. Individual bottles are convenient, portable, and let guests track their own drink, which is ideal for outdoor events, anything with movement, or large crowds spread across a space. A dispenser or pitcher with cups is cheaper, far less wasteful, and better for a contained indoor gathering where people are seated. Many hosts split the difference: a dispenser as the default, with a stock of bottles for guests who are coming and going or heading outside.

However you serve it, keep water cold and make it easy to grab. Pack bottles in coolers with ice, or chill a dispenser with an ice block, since guests reach for cold water far more readily than room-temperature. For a hot or outdoor event, set up more than one water station so nobody has to cross the party for a drink, and keep a backup case in reserve. Adding sliced lemon, cucumber, or mint to a dispenser costs nothing and noticeably increases how much water people actually drink.
